    • 1). Ask your Human Resources department (HR) for your ex-employee's personal records. This will help you remember some of the facts about that person that you may have forgotten.

    • 2). Create an outline for your letter of recommendation by listing the strengths and achievements of your ex-employee.

    • 3). Start your letter with a formal greeting, such as "Dear Sir or Madam."

    • 4). Write the first paragraph of your letter of recommendation. The first paragraph should contain your actual recommendation, as well as your general impressions about your ex-employee and the role that both you and him had in the company at the time of his employment.

    • 5). Compose the second paragraph by listing and giving specific examples for the most important traits, abilities, and achievements of your ex-employee.

    • 6). Write your final paragraph by reiterating your recommendation.

    • 7). Use a formal closing statement such as "Best regards," and sign your letter.
