How to Record a Greeting
- 1). Access the greeting recording function on your cell or home phone.
- 2). Keep the message brief but provide the caller with instructions on how to leave you a message so you are prepared when you call back. Here is an example: "Hello. This is (your name). I'm not able to take your call at the moment, but leave a message and a phone number to reach you back, and I'll return your call as soon as I can."
- 3). Stop the recording one to two seconds after you finish your message and select it for the new greeting.
- 1). Create a clear greeting message so those who call know what to leave in the voice mail recording.
- 2). Alert those who call you in a professional setting that you will get to their call as soon as you can. Here is an example: "Hello, this is (your name) from (your company). I am unable to answer the phone, but if you leave your name, phone number and a message, I will get back you as soon as I can. Thank you."
- 3). Set the new greeting on your voice mail settings to ensure you do not miss important messages.
