Biometrics and Beyond Timesheets: Using Time Data to Analyze Productivity

If your company is still using a bundy clock and time punch system for clocking in and creating timesheets, then you are missing the convenience and the great many benefits of having a biometric time clock.

The main problems with bundy clocks and the manual processing of timesheets are that they consume too much time both for the employees and the Human Resource and Payroll staff and that they are  prone to human errors.  Moreover they  are  susceptible to time theft called "buddy punching" which is done when someone clocks in for a co-worker in case the latter will be late or absent.

These problems can be solved by using Biometric Time Clocks for the clocking in and out of the employees.  The importance of using such time clocks is that it accurately and uniquely records the information to the Time and Attendance system and automatically creates timesheets for each employee.  Since the system is automated, human errors can be eliminated in the process.  Also, time theft is greatly reduced, if not totally eliminated, since the employee must be physically present to clock in.

Some of the common types of biometrics used in time clocks are fingerprint, handprint, iris, face, and retina.  Another type is the finger vein scan which is one of the latest and leading technologies in biometric time clocks.  As the name implies, it uses the veins of the finger to uniquely identify a person which will not be compromised by simple alterations in the fingerprint like cuts and the use of moisturizers.  Thus, it is more accurate and has  a higher acceptance rate. So, why is it important to have an accurate and high acceptance rate for a biometric time clock?

Since it is integrated into the Time and Attendance system, it is important that the data gathered from the time clock is accurate because it is automatically recorded into the system and used for other purposes like payroll, rostering and key performance indicators.

A Key Performance Indicator (or KPI) is a very powerful tool to evaluate the productivity of your workforce.  It analyses different aspects of your business against the actual time spent by the staff as recorded in the timesheets.  This can be used in any type of business  to analyze any numerical data against your timesheet like number of customers, number of drinks and meals served, number of booked rooms and production rate, just to name a few.  The possibilities are endless as long as you have a numerical data to compare and report on.with. 

The more accurate the timesheet data gathered from your biometric time clock is, the more accurate your Key Performance Indicator is.  Moreover, this can also be used for forecasting  and budgeting from a few days up to annual budgets.
