- 1). Download a PDF writing application. Many PDF writing programs are available only for a fee, but free versions can be downloaded, as well. Adobe Pro is used in the following examples.

Open the calendar file or create a new calendar. In this example, a Microsoft Excel calendar is used. As mentioned in the introduction, most productivity software applications have calendar templates. If you do not have a calendar file, check the software manufacturer's website for template downloads. The page for Microsoft calendar downloads is linked below. - 3
Click once on the "File" drop down menu and select the "Print" option. - 4
Select the PDF writing program option from the available selection of printers on the "Print" pop up window. Click once on the "OK" button. - 5
Choose a folder in which to save the PDF version of the calendar using the "Save in" drop down menu. The "File name" field will populate with the name of the source calendar file. To change the file name, type over the text in the "File name" field. Click once on the "Save" button. This will begin the process of converting the calendar to PDF. - 6
View the newly created PDF calendar, which can now be printed, posted and circulated to the appropriate audience.
